We are looking for a full-time administrator/book-keeper to support the work of the clinical team. As this is a new job, this job description reflects our current understanding of the likely content of the role. However, it is possible that some elements may change over time in response to the needs of the practice and the aptitudes of the person appointed to the role.
Administration
- Support for Dr Helen Harrison, the Principal of the practice, in handling calls and correspondence, diary management, organising travel, filing, etc.
- Working with the nursing team to scan documents onto the patient records system, administer patient recall programme, etc.
- Preparing agenda for the monthly practice meeting and taking minutes
- Taking post and banking as required
- Acting as first point of call for logging computer issues and following up with our software support partners
- Monitoring activity on www.grantadental.co.uk and implementing changes as required
- Maintaining and developing the practice’s library of document templates in Word
- Drafting patient literature, including adverts, information sheets and the practice newsletter
- Organising internal and external training and promotional events as required
- Liaising with suppliers of marketing support services (designers, printers, etc.)
- Liaising with companies which help to maintain our equipment and premises.
Book-keeping
- Inputting invoices
- Paying bills
- Chasing outstanding payments
- Reconciliation of monthly accounts
The practice uses Sage accounting software. Training can be provided if necessary.
General
The ideal candidate will be well-organised, flexible and a good team worker, who is able to 'juggle' tasks efficiently. You will be educated to at least A-level standard, have excellent written English and be experienced in MS Office applications.
